Publishing an Unpublished Service on Microsoft Bookings
A service must be published in order for consumers to schedule appointments on their own through the booking page.
Accessing the Bookings Calendar
- Visit https://outlook.office.com/bookings/.
- Log in with your UAMS account, if prompted to do so.
- Near the top-right corner of your window, click “Try the new Bookings.”
- Note that eventually, this option will no longer be available as the “new Bookings” will become the default option.
- The calendars that you have access to will be displayed on this page. Go to the appropriate calendar (e.g., Creative Services Portraits).
Publishing a Specific Service
- On the left side of the window, go to Services.
- View the list of existing Services and click to select the relevant Service.
- In the large pane that appears on the right with the name of the selected Service across the top, click Edit service.
- Ensure that the information for this Service is accurate and up-to-date.
- In the Basic details tab, make sure that accurate directions to the current location of the portrait sessions are included in the Description field (indicated by an icon with three horizontal lines).
- In the Basic details tab, make sure that the current location of the portrait sessions is listed in the Location field (indicated by an icon of a map marker). Note that this can be custom text — it does not have to be an official room location as used when creating a meeting in Outlook.
- In the Availability options tab, confirm that the Minimum lead time and Maximum lead time values reflect the current desired amounts of time.
- In the Availability options tab, set the desired values under Availability. See Adding Additional Irregular Availability to an Existing Microsoft Bookings Service for instructions on setting these values.
- In the Assign staff tab, assign the desired photographer by checking the box beside their name.
- In the Notifications tab, make sure the directions to the current location of the portrait sessions are included in the Add additional information field and that the directions are accurate. This can be copied from the description used in the Basic details tab earlier.

- Click the Save changes button in the bottom right corner.
- On the left side of the window that appears, activate the toggle underneath Publishing options that says Show this service on the booking page.
- Click the Save changes button in the bottom right corner.
Communicating the Service to the Stakeholders
Once a service is published, it will appear in the list of available services on the main booking page for its calendar (e.g., Creative Services Portraits). To find the URL for the main booking page for a calendar, click Booking page on the left side of the dashboard, then copy the URL found under Your booking page.
To send a link to stakeholders that only shows the desired published service, click Services on the left side of the dashboard, click the desired service, then copy the URL found under Service booking page. Note that the URL found here will only work properly if the service is published. If the service is not published, users will be redirected back to the main booking page for the calendar and will not see this service as an option to choose from.
