Adding Additional Irregular Availability to an Existing Microsoft Bookings Service

The following information is based on the documentation for defining your service offerings in Microsoft Bookings on the Microsoft technical documentation website at https://docs.microsoft.com/en-us/microsoft-365/bookings/define-service-offerings.

If you have already created a service on Microsoft Bookings and are wanting to add a new set of times for irregular (non-weekly) availability, follow these steps.

These steps presume that the General Availability has been set as Not bookable, with previous availabilities having been defined under Set different availability for a date range.

  1. Visit https://outlook.office.com/bookings/.
  2. Log in with your UAMS account, if prompted to do so.
  3. Near the top-right corner of your window, click Try the new Bookings.
    • Note that eventually, this option will no longer be available as the “new Bookings” will become the default option.
  4. The calendars that you have access to will be displayed on this page. Go to the appropriate calendar (e.g., Creative Services Portraits).
  5. Go to Services in the list of tabs displayed on the left.
  6. Scroll down to the bottom of this screen, beyond General Availability.
  7. Add an additional availability by clicking Set different availability for a date range.
  8. Define the start and end date.
    • If the particular availability is limited to a single week, set the start date as the date for the Sunday of that week and set the end date as the date for the Saturday of that week.
    • If the particular availability is across multiple weeks, but does not occur the same days each week, add each week as an additional availability by clicking Set different availability for a date range.
    • If the particular availability is across multiple weeks, and does occur the same days each week, add the start date as the ddate for the Sunday of the first week and add the end date as the date of the Saturday of the final week.
  9. Choose Custom hours (recurring weekly) from the dropdown.
  10. Set the hours for each day of the week within the date range.
    • Click the trashcan icon on the right side of each day’s row to remove availabilities for that day. When all availability has been removed from a day, you will see it say “Not bookable.”
    • To add a time range of availability to a particular day when it displays as “Not bookable,” click the plus sign icon on the right side of the day’s row.
    • To add an additional time range of availability to a particular day (e.g., for a time span after a lunch break), click the plus sign icon on the right side of the day’s row.
    • Set the start and end times for each time range of availability.
  11. Click Save changes.
