Box: Creating a Shareable Link in Box
June 19, 2025
Here are step-by-step instructions for creating a Box folder share link accessible to everyone:
- Log in to Box: Go to box.com and sign in to your account.
- Navigate to the Folder: Locate the folder you want to share in your Box account. You can find it in the “All Files” section or through the search bar.
- Open Sharing Options:
- Hover over the folder and click the Share icon (a person with a plus sign) or right-click the folder and select Share.
- Alternatively, click the folder to open it, then click the Share button in the top-right corner.
- Create a Share Link:
- In the sharing menu, click Create Shared Link (if not already enabled).
- A share link will be generated automatically.
- Set Access Permissions:
- Click the dropdown next to “Shared Link Access” or “Link Settings.”
- Select People with the link to make the folder accessible to anyone who has the link, even if they don’t have a Box account.
- Ensure the access level is appropriate (e.g., View Only or View and Download). For maximum accessibility, avoid settings like “People in your company” or “Invited people only.”
- Customize Link Settings (Optional):
- Click Link Settings to adjust options like:
- Download Permissions: Allow or restrict downloading files.
- Expiration Date: Set a date for the link to expire.
- Password Protection: Add a password for extra security (note: this may limit accessibility unless shared).
- Save any changes.
- Click Link Settings to adjust options like:
- Copy the Share Link:
- Click Copy next to the generated link, or highlight and copy it manually.
- Share the Link:
- Distribute the link via email, messaging apps, or any platform where you want to share access.
- Anyone with the link can now access the folder’s contents based on the permissions you set.
- Verify Accessibility (Optional)**:
- Open the link in an incognito/private browser window to confirm it’s accessible without requiring a Box login.
- Ensure the link works as intended and displays the folder’s contents.
